Faculty, Librarians and Staff Email

UTmail+ powered by Office 365 is a comprehensive online e-communication and collaboration service provided by Microsoft. The service provides virtually anywhere access to familiar Office tools (e.g., online versions of Word, Excel, Powerpoint…), e-mail, calendaring, instant message, audio/video conferencing, and cloud storage services. Note that the online Office applications do not replace PC/Mac-based software. They are adjuncts to the software you may already have.

Access from anywhere

UTmail+ lets you use a web browser to access your mailbox from any computer that has an internet connection. Just go to mail.utoronto.ca and log in with your UTORid and password. You can also access UTmail+ through mail clients like Outlook, or mobile devices like iPhone.

Office 365 ProPlus

Your UTmail+ account gives you access to full desktop and mobile versions of Microsoft Office to install on your personal devices. You may run Office on up to 5 machines (Mac or PC). You can also run the Office Mobile Apps (Word, Excel, Powerpoint) on up to 5 mobile devices (on various platforms). More details and installation instructions are available from the Office 365 ProPlus page.

Saving email messages using Thunderbird

Saving means copying or moving messages from folders on the email server (remote folders) into local folders on your computer. Once messages are in your local folders, you then delete them from the server. This procedure, called archiving, also reduces the amount of data stored in your account, making room for new messages to be delivered.

There are two steps to save (archive) messages

Step One - Create a local folder in Thunderbird.

There are two reasons to archive email messages: first, it allows messages to be accessed when the computer is not connected to the Internet, and second, it allows one to delete messages from the server — thereby reducing the total storage used that counts towards one's remote storage quota — and still maintain a record of any archived messages.

On My Computer Folders

Generally, removing an email account on Outlook for Mac should not delete the messages in the On My Computer section. However, if the messages located in that section are important, creating a backup before deleting the account is a good idea.

Please be certain to follow these instructions closely. You may wish to get assistance in person from your local IT or the Information Commons Help Desk.

Requests to change or remove email services for employees who are leaving the University

If you are an employee who is leaving the University

Before you leave you can take steps to reflect this change in status. As a departing employee you can set up an automatic reply for your email indicating that you are no longer with the university or you can set up automatic forwarding of your email to the appropriate person in your department.
