Where is tabling space available and who can reserve space?
Only University of Toronto affiliated recognized student groups, staff and faculty may book the spaces available at the libraries for tabling. The following tabling locations may be reserved:
- Robarts Library (1st or 2nd floor, depending on the nature of the request and availability)
- Gerstein Science Information Centre
A maximum of four group affiliated people per group can be present at the table at any given time during their scheduled tabling reservation.
Do libraries provide tables and supplies?
Groups are responsible for bringing their own office supplies needed for tabling (e.g., tape, scissors, staplers, etc).
- Gerstein will supply one table and up to four chairs per booking.
- Robarts has a Bring Your Own Table (B.Y.O.T) policy.. Each group is permitted to bring only one table, this is to avoid congesting the area.
Would my group be able to bring posters and banners to display?
Banners, posters or other materials may not be attached with adhesive to library walls, or columns without permission from library staff beforehand. Vertical banners, such as standee banners, must remain close to the table to avoid impeding traffic in the area.
How long can my group book tabling space for?
Tabling hours are 10:00 AM to 5:00 PM at both Robarts and Gerstein libraries.
Groups can request space for a maximum of 4 hours per day, 2 days a week (ie. the maximum time a group would be allowed to book in a week is 8 hours: 4 hours each day).
Do I submit different forms for reserving tabling space?
Yes, each form submission is for a single day. If you would like to book space for more than one day, please submit a new form for each request.
How long does it take to get a status update on a submitted tabling reservation request?
It may take anywhere from 1 to 7 business days to respond to you about a tabling reservation request.

- Selling food and drinks, including baked goods, is not permitted at the libraries. Neither is the selling or distribution of products from external vendors (including items like books, banking and credit cards, etc.)
- Groups tabling to promote upcoming paid events, such as galas or conferences, are not permitted to sell tickets at the libraries.
- General safety practices consistent with university policy and fire regulations must be observed:
- Do not impede the flow of foot traffic through the adjacent area.
- Keep doors and pathways clear of obstruction.
- Keep noise levels to a minimum to avoid disrupting students studying in the area.
- Groups using the booked spaces are not permitted to approach or disrupt library users in the area and instead, should let patrons approach them. Groups must stay close to their table for the entire duration of their scheduled tabling slot(s).
- Music may not be played at tabling activities to be respectful of other students and events in the space. No additional music/audio equipment is permitted.
Where else on campus can I book space if not at the libraries?
Student groups can also book spaces for their events around campus. Use the Campus Room Finder to see what is available.
For all food-related tabling and events with Campus Events, review their office’s guidelines and complete the required forms on their webpage. The library reserves the right to cancel reservations if the above conditions are not met, for safety reasons, and/or fire code violations.
